PERSONAL DATA WE COLLECT AND PURPOSE OF COLLECTION
1. Personal Information We Collect
Depending on how you interact with us, we may collect the following categories of information.
Contact and identity information
This may include your name, email address, telephone number, mailing address, date of birth, account identifiers, electronic signature, and other information used to identify or communicate with you.
Business and professional information
If you contact us about a property or business project, we may collect your company or organization name, job title, property information, project requirements, available space, budget, preferred contact method, and information you provide about a proposed wellness center.
Membership and account information
This may include your membership type, enrollment date, membership status, activation or enrollment charges, renewal information, pause and cancellation requests, agreements, waivers, onboarding completion, communication preferences, and account history.
Booking, access, and facility-use information
This may include reservations, cancellations, late cancellations, missed reservations, waitlist activity, check-ins, access credentials, door-access logs, facility-entry records, device or modality reservations, session history, and records concerning compliance with facility rules.
Health and safety information
To determine whether a modality may be appropriate for self-service use, we may collect information you voluntarily provide through safety questionnaires, waivers, contraindication screening, onboarding forms, incident reports, and communications.
This information may include relevant medical conditions, medications, pregnancy status, injuries, physical limitations, emergency-contact information, and other information relevant to safe equipment use.
Biohealth Solutions is a wellness business and generally is not acting as a health care provider, health plan, or health care clearinghouse covered by the Health Insurance Portability and Accountability Act (“HIPAA”). Information you provide to us may therefore not be protected by HIPAA. We nevertheless handle health and safety information as sensitive information and use it only for appropriate operational, safety, legal, and service-related purposes.
We do not use health or safety questionnaire information for targeted advertising.
Payment and transaction information
We may collect transaction amounts, membership charges, invoices, payment status, refunds, billing address, purchase history, and limited payment-method information.
Payment-card and bank-account information is generally collected and processed directly by payment providers such as Square or payment services integrated with GymMaster. Biohealth Solutions generally does not receive or retain complete payment-card numbers or security codes.
Product and order information
For direct product sales, we may collect the products ordered, delivery location, installation requirements, training status, warranty information, returns, service requests, and communications concerning an order.
Communications and marketing information
We may collect messages, emails, telephone inquiries, contact-form submissions, feedback, survey responses, reviews, marketing preferences, and records of whether you opened or interacted with an email or message.
Security-camera footage
We use security cameras in designated front-desk, entrance, and common or social areas for safety, security, incident investigation, property protection, and enforcement of facility rules.
We do not intentionally place cameras inside whole-body cryotherapy rooms, red-light therapy rooms, changing areas, bathrooms, or other areas in which a person would reasonably expect privacy.
Website and technical information
When you use our website or digital services, we and our service providers may collect your IP address, browser type, device type, operating system, language, referring page, pages viewed, approximate location derived from an IP address, session activity, cookie identifiers, advertising identifiers, and interactions with website content.

These providers may process information on our behalf or under their own privacy policies, depending on the service.
Property and program partners
When Biohealth operates a wellness center at a residential, hospitality, corporate, or commercial property, we may disclose limited information to the property owner, association, manager, employer, or program sponsor when reasonably necessary to administer eligibility, facility access, safety, security, incident response, or the applicable business relationship.
We do not provide members’ health and safety questionnaire responses to property partners for employment, housing, or unrelated marketing decisions unless you direct us to do so or disclosure is legally required.
Product and referral partners
If you purchase a product directly from us, we may provide the information needed to manufacture, deliver, install, service, or warrant the product.
If you follow an affiliate or referral link, the third-party seller may independently collect information from you. Its privacy policy—not this Privacy Policy—governs that transaction.

Respond to an emergency or protect a person’s health or safety;

With your direction or consent
We may disclose information when you ask or authorize us to do so.
5. Sale, Sharing, and Targeted Advertising
Biohealth Solutions does not sell personal information for money.
When analytics or advertising technologies are enabled, we may permit providers such as Google or Meta to receive cookie identifiers, device information, IP addresses, website activity, or similar information. Certain state privacy laws may characterize this activity as “sharing,” “targeted advertising,” or a “sale,” even when no money changes hands.
Where required, you may opt out through our cookie-preference tool or by contacting info@biohealth.fi. We do not knowingly sell or share health questionnaire information for targeted advertising.
6. Cookies and Similar Technologies
We may use essential, functional, analytics, and advertising cookies or similar technologies.
Essential technologies support security, navigation, forms, accounts, reservations, and other requested functions. Analytics technologies help us understand website use and performance. Advertising technologies may help us measure campaigns or present more relevant advertising.
Depending on our current configuration, providers may include Wix, Google Analytics, Meta, and similar services. We may also maintain listings or communications through services such as Apple Business Connect and other business-listing platforms.
Where required, nonessential technologies will not be activated until you make a selection through our cookie banner. You may later change your preferences through the cookie settings available on the website. Browser controls can also block or delete cookies, although some functions may then operate incorrectly.
We will update this Privacy Policy and our cookie controls before introducing materially different tracking or advertising practices.
7. Email, Telephone, and Text Communications
We may send service-related communications reasonably necessary to administer an inquiry, transaction, membership, reservation, account, closure, access issue, safety matter, or product order.
Marketing email and marketing text-message consent are optional and are not conditions of purchasing a product, membership, or service.
You may unsubscribe from marketing emails using the link in the message. You may withdraw consent to marketing texts by replying STOP or by using another reasonable opt-out method. HELP may be used for assistance. Message frequency varies, and message and data rates may apply.
Opting out of marketing does not prevent us from sending nonmarketing communications that are necessary to administer an existing account, reservation, transaction, safety matter, or legal obligation.
8. Security Cameras and Facility Monitoring
Security-camera footage may be reviewed following a suspected safety incident, security concern, property loss, rule violation, emergency, or lawful request.
Footage is retained only for as long as reasonably necessary for security and operational purposes unless it must be preserved for an investigation, insurance matter, dispute, or legal obligation.
Facility access and reservation records may be reviewed together with footage when investigating an incident.
9. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy. Retention depends on the nature of the information and may include:
-
The duration of an inquiry, customer, membership, property, or business relationship;
-
The period necessary to fulfill an order or administer a warranty;
-
Applicable tax, accounting, insurance, and recordkeeping requirements;
-
Applicable limitation periods and potential legal claims;
-
Safety, security, and incident-management requirements;
-
Your marketing preferences and opt-out records; and
-
Requirements imposed by law or contract.
We may retain certain information after an account is closed when necessary to document agreements, payments, waivers, safety matters, opt-outs, disputes, or compliance obligations. We may also retain information in deidentified or aggregated form.
10. Data Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we maintain. These may include access restrictions, passwords, vendor controls, encryption where appropriate, system monitoring, and personnel procedures.
No website, transmission method, or storage system is completely secure. We therefore cannot guarantee absolute security.
If a qualifying data breach occurs, we will provide legally required notifications and take reasonable steps to contain and address the incident.

Appeal a decision concerning a privacy request where applicable.
To submit a request, email info@biohealth.fi with the subject line “Privacy Request.” Please describe your request and the account or interaction to which it relates.
We may need to verify your identity before completing a request. We may deny or limit a request where permitted by law, including when retaining the information is necessary for security, fraud prevention, legal compliance, completing a transaction, or establishing or defending legal claims.
Authorized agents may submit requests where applicable law permits, subject to verification of their authority.
We will not unlawfully discriminate against you for exercising a privacy right.
12. Children and Age Restrictions
Our memberships and self-service wellness-center services are intended only for adults who are at least 18 years old.
Our website is not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If you believe a child has provided information to us, contact info@biohealth.fi.
13. International Processing
Our service providers may process information in the United States and other countries. Privacy protections in those countries may differ from those in your home jurisdiction. Where required, we use appropriate contractual or legal mechanisms for international transfers.
14. Third-Party Websites and Services
Our website may link to GymMaster, Square, manufacturers, supplement sellers, social-media platforms, affiliate partners, or other third-party services. We do not control their privacy practices. Review the privacy policy of the service you choose to use.
A link, manufacturer reference, or affiliate relationship does not make Biohealth Solutions responsible for the third party’s independent privacy practices.
15. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in our operations, technology, vendors, or legal obligations. The revised version will display a new “Last updated” date.
If a change materially affects how we use previously collected information, we will provide additional notice or request consent when required by law.
